Role, Responsibilities and Accountabilities.

Experienced Executive Assistant is required to support the General Counsel (GC) and Chief Medical Officer (CMO) of DaVita International. The GC and CMO are members of the International Executive Team. The post holder will provide close support to the GC and CMO on a day to day basis. This includes the following responsibilities (please note that these are not exhaustive):

  1. Diary Management for GC & CMO, meeting scheduling and appointments.
  2. Interaction and cooperation with EA’s supporting other members of the Exec Team.
  3. Extensive international travel bookings (including organising itineraries) keeping the Organisation’s travel policy in perspective.
  4. Handling telephone and email enquiries.
  5. Note taking of actions points as and when required to sit in on meetings.
  6. Booking events and catering setup.
  7. Preparing documents, correspondence or forms and checklists under lawyer supervision including where required providing marked up red line, clean and comparison documents.
  8. Maintaining version control and drafts. Proof reading.
  9. Preparing mail and enclosures for dispatch.
  10. File management: including the opening, closing, archiving and retrieval of files in accordance with the appropriate procedures.
  11. Expense management for the GC and CMO.
  12. Filing standard form documents.
  13. Some inbox management.
  14. Assistance with production of various monthly reports as and when required.
  15. Personal development: to undertake specific training when required to do so and to be responsible for own self development.

Qualifications and Education Requirements

Education/ Certifications – Professional Practice – Prior Experience

  • Proficient computer skills are required, including and Microsoft Office - Excel, PowerPoint, Word, Outlook.
  • Experience with contracts management and legal databases preferred.
  • Concur would be beneficial not essential.
  • Ability to work in a fast paced, team-oriented, lean environment including liaising with international colleagues.
  • Ability to adapt and be flexible.
